EQUIPMENT RENTAL Details and Policies


WiIl-Call
As of Dec 7th, 2007 we will no longer be offering will-call service (customers will no longer be able to pick up their equipment directly from us); however, we will still deliver rented equipment directly to a campus location.

Telephone Hybrid System
When renting phone bridge/speakerphone equipment for audio conferences Media Services will make an announcement prior to the start of the event asking that all remote and local participants mute their microphones when not speaking to reduce the probability of sound and feedback problems. Related audio problems originating from remote locations are beyond Media Services control.

Weekend Equipment Rentals
Equipment rented over a weekend will be charged a minimum of one day, or eight hours for hourly rated equipment.

Outdoor Events/Water Exposure
For outdoor video projection needs, please contact University Centers Technical Services.

When ordering sound equipment for outdoor use after sunset, a covered area must be provided for its protection. A canopy can be ordered through Facilities Management’s Special Event Equipment Request page.

To minimize the risk of equipment damage and/or shock hazard, we highly recommend that a Media Services technician remain on site for the duration of your event. If equipment is to be used without a technician present, we suggest that a responsible party be present at time of delivery to review setup and operation of equipment.

Media Services reserves the right to withhold delivery if there is any possibility our equipment will be exposed to moisture from rain, fog, etc. When an outdoor event is cancelled due to rain and Media Services is notified prior to delivery, all charges will be waived. If equipment is delivered and then removed due to rain, order will be charged as a late cancellation. If event is moved indoors, additional labor charges may apply but “late location change” fee will be waived.

Outdoor AC Power

Customers are responsible for providing proper AC power to outdoor event locations. Please contact Facilities Management for assistance with power for large outdoor events.

Equipment Delivery in General-Use classrooms
Start time is the time that you expect equipment set up and ready to use. Deliveries and pickups in general-use classrooms will be done during the passing period. Customer is responsible for insuring that the Media Center Technician has sufficient time and access to the classroom if delivery of equipment is expected at a time other than the passing period.

Video Cameras
Video Cameras take a minimum of 30 minutes for preparation and set up. Additional labor charges will apply.

16mm Film - Operator Requirements

All 16mm film events require a staff technician to operate the projector.

Computer Equipment
Media Services provides dry runs free of charge (up to 20 minutes) if scheduled prior to computer-related events. The purpose of the dry run is to test the computer, computer projector, network configuration, and software that will be used for the presentation. We suggest a dry run for first time users or users with new equipment. Computer files created on CD or DVD media may not be compatible with our computers. Because of the many recording formats and types of media, we strongly recommend a dry run a few days before your event. Media Services' will not be liable for any problem with incompatible media.

Media, such as, CD-ROMs, DVDs etc left in our equipment will be taken to our main office at the Media Communications Center room 229. If you think you have left media in our equipment please call 534-5784 and we will do our best to locate it for you. Any unclaimed media will be disposed of at the end of each quarter.
